Overview: Under minimum supervision, performs a variety of purchasing and administrative assistant duties such as processing requisitions, receiving, issue resolution, office supplies ordering, and contract file maintenance.

Schedule: Average 40 hours per week. Monday - Friday, 8am - 5pm.

The first two weeks of training require full time Monday thru Friday, 8am - 5pm. This is not optional. Please ensure you available to attend training before applying to this position.

Essential Functions:

Processes requisitions, reviews approval authority, and performs simple to medium problem solving in relation to these duties. Transmits purchase orders to vendors, and confirms that orders have been received. Works with vendors to identify pricing and availability, resolve discrepancies, expedite orders, and maintain ongoing relations. Register employees for training classes & seminars. Manage and order supplies for kitchen, conference rooms, and IT departments.

Reviews and codes recurring invoices in ACOM system. Resolves purchase order invoices on hold in ACOM system. Validates and processes recurring invoices. Work with vendors to resolve discrepancies

Monitors and distributes Purchasing mailbox mail. Maintains purchasing files including requisitions, purchase orders, packing slips, software licenses, and other associated documents and reports. Updates Purchase Request Database.

Processes maintenance and subscription renewals.

Processes all incoming shipments for accuracy and product condition, distributes to appropriate departments, and enters packing slips into receiving system.

Maintains contract files. Monitors contracts pending execution to ensure they are received and executed properly. Loads executed contracts into Meditract.

Performs other duties as assigned.

Education: High School Diploma or GED required; Associates Degree in Business or other field preferred.

Experience: Minimum of one to two years’ experience in purchasing or accounts payable setting preferred. Microsoft Office Suite experience required.

Knowledge: Knowledge of purchasing and/or accounting practices, basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately. Demonstrated computer skills and knowledge of Microsoft Office software and email applications. Demonstrated intermediate skills and knowledge of Microsoft Excel.

Skills: Works effectively in a team environment. Excellent verbal, written and organizational skills. Excellent customer service and interpersonal skills.

Abilities: Reads, speaks, understands and writes proficiently in English. Ability to adapt to changes in the work environment and to shifts in organizational philosophy and expectations. Works with initiative, energy and effectiveness in a fast-paced environment to prioritize and multi-task, competing tasks and demands. Ability to be positive and flexible under pressure. Ability to identify and solve simple to complex problems. Ability to type 40 wpm and ten-key adding machine by touch.
