Responsible for analyzing reports and reordering merchandise based on rate of sale, SKUs & master purchase orders. Provides administrative and organizational support to the Buying Office. Executes tasks as assigned by the Buying Office to include: input of purchase orders, follow up on purchase orders, product assortment tasks and communication with internal and external parties as needed.
Assumes responsibility that the Re-Order Buying Function is properly coordinated.
Analyzes the rate of sale on each group of vendors.
b. Places orders and reviews open order reports from vendors to maintain requested inventory levels.
c. Reviews flow of goods and adjust shipping dates.
d. Researches issues as they arise, advises and reviews issues with the Buyer.
e. SKUs merchandise, data entry of set-up sheet info, orders and email Vendors.
f. Works with ordering system in reviewing merchandise lead times, forecasts, trends and seasonality.
g. Tracks and resolves order discrepancies and issues promptly.
h. Inputs and follows up on purchase orders.
i. Purchase order, invoice, and receipt check.
j. Accounts payable problem resolution.
2. Assumes responsibility for Office Organization
a. Writes routine reports and correspondence.
b. Communicates effectively with stores, vendors and other professionals.
c. Assists in the preparation of statistical data for merchandising.
d. Performs other administrative and clerical tasks and complete special projects as assigned.
Assumes responsibility for maintaining effective business relations with clients, vendors, and other business professionals.
a. Responds to inquiries, handles or refers issues as appropriate while conveying a positive image of Kane’s.
b. Obtains and provides information as needed.
4. Assumes responsibility for establishing and maintaining effective working relationships with area Staff and with Management.
a. Assists with website data maintenance.
b. Keeps Buyer apprised of activities and important information.
c. Works with warehouse and suppliers on delivering problems, back orders, sale items, returns, new items, and product distributions.
d. Works with Accounting on any billing discrepancies.
e. Assists other personnel as needed. Assist in directing, coordinating, and appraising assistant staff.
5. Assumes responsibility for related duties as required or assigned.
a. Performs miscellaneous clerical and administrative tasks.
b. Perform other related duties and functions as required.
c. Performs special projects as assigned.
d. Ensures that work area is clean, secure, and well maintained.
Skills & Requirements
Bachelor’s degree desirable or equivalent experience.
Required Knowledge:
Knowledge of word processing and spreadsheet applications. Knowledge of Microsoft Office: Word, Excel, Outlook, and PowerPoint. Knowledge of the internet and other web-based tools. Knowledge of reordering and flow of merchandise. Knowledge of customer behaviors and preferences. Knowledge of order processing.
Experience Required:
Four years merchandising experience.
Proficient word processing skills.
Strong customer service Skills.
Strong organizational and project management skills.
Strong interpersonal and public relations skills.
Solid analytical, creative, and problem-solving abilities.
Able to work well independently and as part of a team.
Able to assist, direct, and coordinate others.
Ability to interpret industry data.
Basic arithmetic operations on a regular basis.
Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
Average Hearing:
Able to hear average or normal conversations and receive ordinary information.
Repetitive Motions:
Movements frequently and regularly required using the wrists, hands, and/or fingers.
Average Visual Abilities:
Average, ordinary, visual acuity necessary to prepare or inspect documents or products, or operate machinery.
Physical Strength:
Sedentary work; sitting most of the time. Exerts up to 25 lbs. of force occasionally.
No hazardous or significantly unpleasant conditions. Ability to move/lift 25. lbs.
Reasoning Ability:
Ability to apply logical or scientific thinking to define problems, collect data, establish facts, and draw conclusions.
Able to
a variety of technical instructions and can deal with
multiple variables
Mathematics Ability:
Ability to compute merchandising numerical concepts including but not limited to: inventory pricing, markup, turnover, logistics, freight categories, discount, interest, profit, advertising and reorder ratios, loss; commission, selling price, ratio, proportion and percentage.
Language Ability:
Ability to read and interpret periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias.
Ability to prepare business letters, proposals, summaries, and reports using prescribed format and conforming to all rules of punctuation, grammar, diction, and style.
