Position Summary : Directs the production and translations of a wide variety of collateral materials and premiums that support sales, marketing, product promotion, membership acquisition and retention, intra-company communication, health education, community relations, and other processes essential to the organization. Defines specifications, procures vendor bids, recommends production methods to achieve best results at lowest cost, manages relationships with many various vendors, expedites and manages crisis projects. Manages meeting Minority Business Enterprise (MBE) and Women-owned Business Enterprise (WBE) requirements within the Marketing Communications Department, working with staff in the Supplier Diversity, Sales and Account Management, and Marketing Communications departments, among others, to help comply with the region's commitments. Production Project and Traffic Management Traffic: Manages all creative and editorial services' production traffic, including reviewing creative briefs, assigning jobs, and prioritizing work, securing approvals, and expediting crisis jobs. Manages expectations of account managers. Understands their priorities. Meets their needs. Communicates effectively with all project members, especially the account managers. Oversees all production, including coordination of production schedules, consultation with vendors, technical preparation of files if needed prior to their distribution to vendors, finalization of job specifications, blueline and other proofing reviews, and distribution for approvals. Tracks and reports on all production efforts.u00a0 Estimating and bidding: Prepares production estimates based on information from account managers, suggestions by graphic designers, and other requirements. Negotiates and awards bids. Offers cost expertise and secures best pricing for Kaiser Permanente. Manages third-party, web-based quoting system for tracking and fielding bids. Oversees licensing, vendor relationship management, and staff training. Fulfillment management: Consults with vendors on customer processes. Communicates with vendors to identify trouble spots in existing processes. Directs creation of new forms to improve client communications (mail forms, cheat sheet for using online ordering, etc.). Trains internal customers. Coordinates site visits to vendor to increase internal customer knowledge of printing, mailing, inventory, warehouse management. Researches reports needed by team. Updates and improves the ordering mechanisms to increase efficiencies. Translations: Manages the ordering of language translations of MarComm projects into languages such as Spanish and Vietnamese, among others. Engages and provides specifications and schedules. Translations often require the vendor to produce the translation in a full graphic layout, for which the senior consultant communicates details, including design files. Takes translations through to production vendor (printer, CD programmer, etc.) as required for successful completion of all language facets of a project. Represents the region on the national translation team. Interfaces with program office to understand new translation processes and request for third party approvals. Web-based tool: Maintains web-based project-management tools for electronic work flow and improves existing production and review processes. Set up demos for creative team, account managers, and clients as needed. Trains staff and monitors adoption and success of management tools. Qualifications : Bachelor's Degree in graphic design, design communications, marketing or related field OR four (4) years of directly related experience required. Ten years of experience as a full-time production manager in a fast-paced team environment using current electronic/internet/software technologies to produce a wide range of print and non-print materials required. Five years' experience working with and purchasing from various vendors associated with the production of materials required. Five years' experience managing production processes. Additional Requirements : Demonstrated excellent written, verbal, and electronic communication skills required. Demonstrated problem-solving and program-management skills required. Experience in both the PC and Macintosh platform required. Strong computing skills in Microsoft Office, including Word, PowerPoint, and Excel required. Familiarity in Adobe Creative suite products, including Illustrator, Photoshop, and InDesign required. Excellent organizational and management skills required. Ability to work in a Labor Management Partnership environment required. Familiarity with health care, organizational communications, media relations, advertising, marketing communications, and related spheres of professional communication experience required. Demonstrated understanding of Web and print design and production. Demonstrated ability to work effectively under deadline pressure. Demonstrated strong project and time management skills. Must
