INVENTORY AND PURCHASING AGENT:
ATEX Distributing, Inc. is a family owned HVAC distributor headquartered in Apopka, FL and is in need of a purchasing agent to fill a full time position. The opening is immediate and the responsibilities include purchasing equipment, parts, supplies, and services necessary for the operation of HVAC Distribution. Following training and under limited supervision, this person will be responsible for placing and tracking purchase orders, scheduling incoming product and assisting in receipt of such product, invoicing drop ship customer orders, maintaining inventory levels and updating product pricing, parts, etc. in Prophet 21 software. Hours: Mon. thru Fri. 8:00am-5:00pm; some overtime may be required based upon season and business load. Education and Formal Training: • High School diploma or GED. Experience: • 2 years purchasing experience preferred, but not required. Materials and Equipment Used: Office Equipment; phone, copier, computer, and fax. Qualified candidates only need to apply.

Tasks & Responsibilities:\r● Issue purchase orders for parts and equipment for the warehouse, job specific and drop ship orders and service parts. \r● Research and identify new vendors to provide reduced cost and lead times, as necessary. \r● Create and enter new part numbers, descriptions, pricing and vendor information in computer software for inventory and supply parts. \r● Coordinate with warehouse personnel to receive, document, and organize inventory. \r● Coordinate shipping schedule with all vendors. \r● Process receiving entries for parts and equipment. \r● Schedule and track drop ships, process customer invoices for drop shipments. \r● Perform online search for requested parts not readily available locally. \r● Run open PO reports at the end of each week, or more frequently, and review/double-check. \r● Keep all paperwork organized and filed timely. \r● Match supplier invoices to purchase orders and resolve any pricing discrepancies including cost, freight, and sales tax. \r● Order and schedule delivery of product to Shreveport, LA location. Daily communication with Shreveport team required. \r● Cross-train of other positions to assist in personnel absences, answer incoming telephone calls. \r● Other duties as assigned. \r\r\rRequired Skills/qualifications: \r● Must be proficient in reporting and administrative writing skills, Microsoft Office tools such as Word, Excel and Outlook. \r● Professionalism, communicate via company telephone or email with vendors, suppliers, customers and co-workers. \r● Attention to detail in typing and proofing materials, establishing priorities and meeting deadlines with a great sense of urgency. \r● Flexible to adapts to changes in the work environment, manage competing demands and able to deal with frequent change, delays or unexpected events. \r● Confidentiality – handle sensitive and confidential situations and documentation. \r● Dependability—the individual is consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance. \r● Ability to multitask – Focus on Quantity and Quality of Administrative work and to follow through on assigned tasks until completion. \r● Must be well organized with daily task lists, reprioritize tasks as needed to meet project and company requirements. \r● Teamwork – Evaluating departmental workload requirements and contributing where needed.\r\r \r\rWorking Conditions: Inside office environment. Minimal work within unconditioned warehouse to verify quantities and product availability, as necessary, and assist with inventory audits.
